Until now, production logs were printed, signed by hand, scanned, and then archived. The paper-based signing process created a media discontinuity within an otherwise digital production and quality assurance process. Multiple manual steps increased the time required and made it difficult to maintain consistent document storage. At the same time, the goal was to find a solution that would work independently of Microsoft Office versions and high-maintenance add-ins.
Situation & Challenge
Until now, production logs have been printed, signed, scanned, and archived. This paper-based process causes media breaks, increases the workload, and complicates document storage. We are looking for a low-maintenance solution that is not dependent on Office software.
Implementation:
OIT developed a smart, customized on-premises solution for digitally signing production logs. Employees will continue to use the existing Word documents and their usual processes.
The digital signature (SmartSign) is performed directly via a signature pad, tablet, or touchscreen. The full name, date, and time are automatically filled in; the document is converted to a signed PDF file on the server and automatically saved to the specified location.
In addition, ensure that QR Code-Based Authentication, audit-proof hash verification, as well as centralized archiving and search functions for maximum traceability.
